Responsibility
- Provide comprehensive administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations with a high degree of accuracy and professionalism.
- Manage and organize confidential documents, ensuring proper filing, retrieval, and security.
- Act as a liaison between executives and internal/external stakeholders, facilitating clear and efficient communication.
- Coordinate and oversee logistical arrangements for events, conferences, and meetings, including venue booking and vendor management.
- Monitor and track key deadlines, deliverables, and action items, ensuring timely follow-up and completion.
- Assist in budget tracking, expense reporting, and financial documentation as required.
- Maintain a well-organized and efficient office environment, including office supply management and workspace coordination.
Qualifications
- Bachelor’s degree in Business Administration, Office Management, or a related field. Relevant experience may substitute for formal education.
- Minimum of 3 years of experience in an executive administrative or office support role, preferably in an academic or corporate setting.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills in English; proficiency in additional languages is a plus.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
- High level of discretion and professionalism in handling sensitive and confidential information.
- Proactive problem-solving abilities and a customer-service-oriented mindset.
- Ability to work independently as well as collaboratively in a team-oriented environment.
