Responsibility
- Manage and coordinate complex executive calendars, including scheduling meetings, appointments, and travel arrangements with precision.
- Prepare and edit high-level correspondence, reports, presentations, and other documents with impeccable accuracy and professionalism.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries with discretion and diplomacy.
- Organize and maintain confidential files, records, and databases, ensuring strict adherence to data security protocols.
- Coordinate logistics for executive meetings, conferences, and events, including venue booking, catering, and technical setup.
- Monitor and prioritize incoming communications (emails, calls, messages) and ensure timely responses or redirection to appropriate parties.
- Assist in the preparation of budgets, expense reports, and financial tracking for executive-level projects.
- Proactively anticipate executive needs and provide strategic support to enhance productivity and decision-making.
Qualifications
- Bachelorâs degree in Business Administration, Management, or a related field (or equivalent work experience).
- Minimum of 3-5 years of experience as an Executive Assistant, Administrative Assistant, or in a similar high-level support role.
- Exceptional written and verbal communication skills in English, with a professional and polished demeanor.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools (e.g., Asana, Trello).
- Strong organizational and time-management skills, with the ability to prioritize tasks in a fast-paced environment.
- High level of discretion, integrity, and professionalism when handling sensitive or confidential information.
- Proven ability to work independently, take initiative, and solve problems with minimal supervision.
