Responsibility

  • Manage executive calendars, schedule meetings, and coordinate appointments with internal and external stakeholders.
  • Prepare and edit correspondence, reports, and presentations with a high degree of accuracy and professionalism.
  • Act as the primary point of contact for senior management, handling inquiries and communications with discretion and efficiency.
  • Organize and maintain filing systems, both digital and physical, ensuring easy retrieval of critical documents.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries for executives and visiting clients.
  • Assist in the preparation of budgets, expense reports, and financial documentation for management review.
  • Liaise with other departments to facilitate smooth communication and workflow between teams.
  • Support the planning and execution of company events, meetings, and corporate functions.

Qualifications

  • Minimum Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field.
  • Proven experience (2+ years) in an administrative or executive support role, preferably in a corporate or dealership environment.
  • Exceptional written and verbal communication skills in English; proficiency in Indonesian is a plus.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
  • Highly organized with the ability to multitask, prioritize tasks, and meet tight deadlines in a fast-paced setting.
  • Discretion and confidentiality in handling sensitive information and executive communications.
  • Strong problem-solving skills and a proactive approach to anticipating and addressing administrative needs.
