Responsibility
- Provide high-level administrative support to the Managing Director, including calendar management, correspondence, and meeting coordination.
- Oversee daily office operations, ensuring a productive and organized work environment for the private enterprise.
- Manage sensitive information with the utmost confidentiality, particularly for the Family Office and ship-owning business.
- Coordinate travel arrangements, expense reports, and logistical support for executive team members.
- Liaise with internal and external stakeholders, including vendors, clients, and partners, to facilitate smooth business operations.
- Develop and implement efficient office systems, policies, and procedures to enhance productivity.
- Prepare and edit professional documents, reports, and presentations for executive review.
- Monitor office supplies, equipment, and facilities, ensuring all resources are well-maintained and available.
Qualifications
- Minimum of 5 years of experience as an Administrative Assistant, Executive Assistant, or Office Manager, preferably in a private or family-owned business.
- Exceptional organizational, multitasking, and time-management skills with a keen eye for detail.
- Strong written and verbal communication skills in English; additional languages are a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
- Proven ability to handle confidential information with discretion and professionalism.
- Experience in coordinating complex schedules, travel arrangements, and executive-level support.
- Problem-solving mindset with the ability to anticipate needs and act proactively.
