Responsibility
- Manage the COO’s calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Coordinate cross-departmental communication and ensure timely follow-up on action items from executive discussions.
- Prepare and edit high-level reports, presentations, and correspondence for internal and external stakeholders.
- Act as the primary point of contact for the COO’s office, screening calls, emails, and visitors with professionalism and discretion.
- Organize and maintain confidential files, documents, and databases with strict adherence to data security protocols.
- Anticipate the COO’s needs by proactively identifying priorities and resolving administrative challenges before they escalate.
- Liaise with senior leadership, clients, and partners to facilitate smooth operations and represent the COO’s office in a polished manner.
- Oversee office supply procurement, vendor relationships, and logistical support for executive initiatives.
Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field (or equivalent experience).
- Minimum 5 years of experience in an executive administrative or office management role, preferably supporting C-level executives.
- Exceptional organizational, multitasking, and time-management skills with the ability to prioritize in a high-pressure environment.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Fluent in English (written and verbal) with outstanding communication and interpersonal skills.
- Strong discretion and integrity when handling sensitive or confidential information.
- Proven ability to work independently, take initiative, and adapt to changing priorities.
- Experience in a multinational or fast-paced corporate environment is a plus.
