Responsibility

  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements with precision and discretion.
  • Prepare and edit correspondence, reports, and presentations to ensure professionalism and accuracy.
  • Act as the primary point of contact for internal and external stakeholders, handling inquiries with diplomacy and efficiency.
  • Coordinate and organize meetings, including preparing agendas, taking minutes, and distributing follow-up actions.
  • Maintain confidential files and records, ensuring compliance with company policies and data protection regulations.
  • Oversee office supply inventory and place orders as needed to support daily operations.
  • Assist in the preparation of budgets, expense reports, and other financial documents as required.
  • Liaise with other departments to facilitate cross-functional collaboration and streamline administrative processes.

Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field (or equivalent work experience).
  • Minimum of 3 years of experience in an executive administrative or office management role.
  • Exceptional written and verbal communication skills in English; proficiency in Indonesian is a plus.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Strong organizational and time-management skills, with the ability to prioritize tasks in a high-pressure environment.
  • High level of professionalism, discretion, and integrity when handling sensitive information.
  • Proactive problem-solving mindset with a keen attention to detail.
  • Experience working in a multicultural or international setting is highly desirable.
