Responsibility
- Scan, digitize, and index HR documents (e.g., contracts, employee records, payroll files) with 100% accuracy.
- Upload and categorize documents into designated digital repositories or HRIS systems.
- Verify document completeness and legibility before processing to prevent errors.
- Maintain confidential handling of sensitive employee data in compliance with company policies and GDPR standards.
- Organize physical and digital files using a standardized naming convention and folder structure.
- Perform regular audits to ensure records are up-to-date and properly archived.
- Collaborate with HR teams to retrieve documents upon request and resolve discrepancies.
- Troubleshoot scanner hardware/software issues and coordinate IT support when needed.
Qualifications
- Minimum 1 year of experience in document scanning, data entry, or administrative support roles.
- Proficiency in using document scanners, OCR software, and digital filing systems (e.g., SharePoint, Google Drive).
- Strong attention to detail and ability to spot inconsistencies in documents.
- Basic knowledge of HR processes and confidentiality protocols is a plus.
- Excellent organizational and time-management skills to meet deadlines.
- Familiarity with MS Office (Excel, Word) and PDF management tools.
- Ability to work independently with minimal supervision in a contract-based role.
- High school diploma or equivalent; additional certification in records management is advantageous.
