Responsibility
- Manage and organize all project-related documents, including contracts, drawings, specifications, and correspondence, ensuring version control and accessibility.
- Implement and maintain a robust document management system (DMS) to streamline retrieval, storage, and archiving processes.
- Coordinate with project teams, engineers, and external stakeholders to ensure timely distribution and updates of critical documentation.
- Conduct regular audits to verify the accuracy, completeness, and compliance of all project records with company and regulatory standards.
- Prepare and distribute meeting minutes, reports, and other administrative documents as required by project timelines.
- Monitor document workflows, track deadlines, and escalate delays or discrepancies to relevant parties.
- Ensure confidentiality and security of sensitive project information through proper access controls and backup procedures.
- Assist in the preparation of as-built documentation and project closeout files for handover to clients or internal archives.
Qualifications
- Bachelor’s degree in Business Administration, Engineering, Architecture, or a related field. Relevant certifications in document control are a plus.
- Minimum 2-3 years of experience in document control, preferably within the construction, engineering, or real estate sectors.
- Proficiency in document management software (e.g., SharePoint, Aconex, ProjectWise) and Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong organizational skills with the ability to manage multiple priorities in a deadline-driven environment.
- Excellent written and verbal communication skills in English; knowledge of Indonesian (Bahasa) is advantageous.
- Attention to detail and a proactive approach to identifying and resolving documentation gaps or inconsistencies.
- Familiarity with ISO standards (e.g., ISO 9001) and industry-specific compliance requirements.
- Ability to work collaboratively in a multicultural team and adapt to evolving project demands.
