Responsibility
- Manage and maintain a centralized digital and physical document repository for all project-related files, including contracts, drawings, permits, and correspondence.
- Implement and enforce document control procedures to ensure version accuracy, accessibility, and compliance with company and regulatory standards.
- Coordinate with project managers, engineers, and external stakeholders to collect, review, and distribute documentation in a timely manner.
- Track document revisions, updates, and approvals using industry-standard software (e.g., SharePoint, Procore, or custom DMS).
- Conduct regular audits to verify document completeness, consistency, and adherence to naming conventions and filing protocols.
- Generate and maintain project documentation reports, including transmittals, registers, and status logs.
- Ensure confidential and sensitive documents are securely stored and accessed only by authorized personnel.
- Provide training and support to team members on document management best practices and system usage.
Qualifications
- Bachelor’s degree in Business Administration, Engineering, Architecture, or a related field. Relevant certifications (e.g., CDMP) are a plus.
- Minimum of 3 years of experience in document control, preferably within construction, real estate, or project management sectors.
- Proficiency in document management systems (DMS) such as SharePoint, Aconex, or eBuilder, and Microsoft Office Suite (Excel, Word).
- Strong attention to detail with exceptional organizational and time-management skills.
- Familiarity with ISO standards (e.g., ISO 9001) and local regulatory requirements for documentation in Indonesia.
- Excellent written and verbal communication skills in English; knowledge of Indonesian (Bahasa) is advantageous.
- Ability to work under tight deadlines in a fast-paced environment while maintaining high accuracy.
