Responsibility
- Manage and maintain an organized document control system, ensuring all files are accurately labeled, stored, and easily retrievable.
- Coordinate the distribution, revision, and archiving of project documents, including contracts, reports, and technical drawings.
- Ensure compliance with company and industry standards for document management, including version control and retention policies.
- Collaborate with cross-functional teams to gather, review, and update documentation as needed.
- Implement and maintain a tracking system for document changes, approvals, and distributions.
- Assist in the preparation of documentation for audits, reviews, and regulatory submissions.
- Provide administrative support, including filing, scanning, and digital organization of documents.
- Train and guide team members on document control procedures and best practices.
Qualifications
- Proven experience as a Document Controller, Administrative Assistant, or similar role, with a minimum of 2-3 years in document management.
- Proficiency in document management software (e.g., SharePoint, Microsoft Office Suite, Adobe Acrobat).
- Strong organizational skills with meticulous attention to detail.
- Excellent written and verbal communication skills in English.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
- Familiarity with industry-specific documentation standards (e.g., ISO, project management frameworks) is a plus.
- High school diploma or equivalent; a degree in Business Administration, Office Management, or a related field is advantageous.
- Experience working in a multicultural or international environment is preferred.
