Responsibility

  • Receive, inspect, and accurately record all incoming inventory and office supplies, ensuring compliance with company protocols.
  • Monitor stock levels and coordinate with procurement teams to maintain optimal inventory, preventing shortages or excesses.
  • Issue and file receipts, delivery notes, and other documentation for all inventory movements, ensuring traceability and accountability.
  • Organize and maintain a secure, well-structured filing system for physical and digital records, including contracts, invoices, and reports.
  • Assist in preparing regular inventory reports and presenting findings to management for decision-making.
  • Coordinate with internal departments to facilitate smooth workflow, including scheduling meetings, managing correspondence, and handling office logistics.
  • Ensure the office environment is well-maintained, including managing supplies, equipment, and workspace organization.
  • Provide administrative support to the branch manager, including drafting communications, preparing presentations, and handling confidential documents.

Qualifications

  • Minimum of 2 years of experience in administrative, secretarial, or inventory management roles.
  • Proven ability to manage records, documentation, and stock control with high accuracy and attention to detail.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and basic inventory management software.
  • Strong organizational and time-management skills, with the ability to prioritize tasks in a fast-paced environment.
  • Excellent written and verbal communication skills in English; knowledge of Indonesian (Bahasa) is a plus.
  • High level of integrity and discretion, especially when handling sensitive or confidential information.
  • Problem-solving mindset with the ability to work independently and as part of a team.
  • Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field is preferred.
