Responsibility
- Develop, implement, and maintain a comprehensive document control system to ensure all compliance-related documents are accurately tracked, updated, and securely stored.
- Oversee the creation, revision, and distribution of controlled documents, including SOPs, work instructions, and regulatory submissions, ensuring version control and accessibility.
- Coordinate and facilitate internal and external audits by preparing documentation, verifying compliance, and addressing audit findings in a timely manner.
- Manage training records and documentation to ensure all employees are properly trained and certified in accordance with regulatory and company requirements.
- Ensure traceability of all documents, including batch records, quality control reports, and regulatory filings, to support product safety and compliance.
- Collaborate with cross-functional teams, including Quality Assurance, Operations, and Legal, to streamline documentation processes and improve efficiency.
- Monitor regulatory updates and industry best practices to ensure our documentation systems remain compliant with local and international standards.
- Maintain secure filing systems, both physical and digital, to protect sensitive information and ensure disaster recovery readiness.
Qualifications
- Bachelor’s degree in Business Administration, Information Management, Quality Assurance, or a related field.
- Minimum of 3 years of experience in document control, records management, or compliance within the food, pharmaceutical, or manufacturing industry.
- Strong understanding of regulatory requirements (e.g., FDA, ISO, HACCP, GMP) and their application in document control processes.
- Proficiency in document management software (e.g., SharePoint, MasterControl, DocuSign) and Microsoft Office Suite, particularly Excel and Word.
- Exceptional attention to detail and organizational skills, with the ability to manage multiple priorities in a fast-paced environment.
- Excellent communication skills, both written and verbal, with the ability to liaise effectively with stakeholders at all levels.
- Experience with audit coordination and preparation, including familiarity with audit trails and corrective action processes.
- Certification in quality management systems (e.g., ISO 9001, ISO 22000) or document control is a plus.
