As a Timekeeping Specialist, you will be the backbone of our Canadian payroll processes, ensuring timely and precise administration of employee time records, leave management, and compliance with local labor laws. Your meticulous attention to detail and expertise in timekeeping systems will directly impact the financial accuracy and operational efficiency of our North American teams.

Responsibility

  • Process and validate employee timekeeping data for Canadian operations, ensuring accuracy and compliance with company policies and regional labor laws.
  • Monitor and reconcile timesheet discrepancies, addressing issues proactively to prevent payroll errors.
  • Maintain and update timekeeping systems (e.g., Workday, ADP) with employee work hours, overtime, leaves, and other relevant data.
  • Generate and distribute timekeeping reports for management review, highlighting trends, anomalies, or areas for improvement.
  • Collaborate with HR and payroll teams to resolve timekeeping-related inquiries from employees and managers.
  • Ensure adherence to deadlines for payroll processing cycles, including bi-weekly or monthly submissions.
  • Stay updated on changes in Canadian labor regulations and internal policies that impact timekeeping procedures.
  • Provide training and guidance to employees and supervisors on timekeeping best practices and system usage.

Qualifications

  • Minimum 2+ years of experience in timekeeping, payroll administration, or HR operations, preferably supporting Canadian clients.
  • Proficiency in timekeeping software (e.g., Workday, ADP, Kronos) and Microsoft Excel (advanced functions like VLOOKUP, pivot tables).
  • Strong understanding of Canadian labor laws, payroll regulations, and overtime calculations.
  • Exceptional attention to detail and organizational skills to manage high volumes of data accurately.
  • Excellent written and verbal communication skills in English to liaise with global teams.
  • Ability to work independently in a remote setting while meeting strict deadlines.
  • Problem-solving mindset with a proactive approach to identifying and resolving discrepancies.
  • Bachelor’s degree in HR, Business Administration, Finance, or a related field is a plus.
