Responsibility
- Assist in the end-to-end planning and execution of high-profile conferences, exhibitions, and corporate events, ensuring seamless delivery from concept to completion.
- Coordinate with vendors, sponsors, and stakeholders to secure contracts, negotiate terms, and manage relationships to meet event objectives.
- Develop and manage event timelines, budgets, and project plans, ensuring all deliverables are met on time and within scope.
- Oversee on-site event logistics, including venue setup, technical requirements, and attendee management, to guarantee a flawless experience.
- Collaborate with marketing teams to create promotional materials, manage social media campaigns, and drive attendee engagement before, during, and after events.
- Conduct post-event evaluations, gather feedback, and prepare reports to assess success and identify areas for improvement.
- Stay updated on industry trends, emerging technologies, and best practices in event management to continuously enhance event quality and innovation.
- Provide administrative support to senior project managers, including preparing presentations, meeting minutes, and documentation as needed.
Qualifications
- Bachelorâs degree in Event Management, Hospitality, Business Administration, Marketing, or a related field (or equivalent work experience).
- Minimum of 1-2 years of experience in event planning, project coordination, or a similar role within the conferences and exhibitions industry.
- Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously under tight deadlines.
- Excellent communication and interpersonal skills, with the ability to build relationships with clients, vendors, and team members.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools (e.g., Trello, Asana, or Monday.com).
- Experience with budget management and financial tracking for events is a plus.
- Detail-oriented with a proactive attitude and problem-solving mindset.
- Ability to work flexible hours, including evenings and weekends, as required by event schedules.
- Fluency in English; additional languages (e.g., Bahasa Indonesia) are a strong advantage.
