Responsibility
- Oversee day-to-day administrative operations, including document management, scheduling, and correspondence for NTUitiveās teams.
- Coordinate cross-functional meetings, workshops, and events, ensuring logistical and technical readiness.
- Develop and maintain efficient filing systems, databases, and tracking tools to streamline workflows.
- Liaise with internal and external stakeholders, including researchers, faculty, and industry partners, to facilitate smooth communication.
- Prepare reports, presentations, and administrative documentation with high accuracy and attention to detail.
- Monitor budgets, process invoices, and assist in financial tracking for assigned projects or departments.
- Implement and improve administrative processes to enhance productivity and compliance with university policies.
- Provide executive support to senior management, including calendar management and travel arrangements.
Qualifications
- Bachelorās degree in Business Administration, Management, or a related field; equivalent experience will be considered.
- Minimum 3-5 years of administrative experience, preferably in a university, research institution, or corporate setting.
- Proven ability to manage multiple priorities in a fast-paced environment with strong organizational and time-management skills.
- Excellent written and verbal communication skills in English; proficiency in additional languages is a plus.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.
- Strong problem-solving abilities and a proactive approach to anticipating and resolving administrative challenges.
- Experience working in remote or hybrid teams and adapting to digital collaboration platforms.
- High level of discretion and professionalism in handling confidential information.
