Responsibility
- Oversee daily office operations, including facility management, supply procurement, and vendor coordination to ensure a smooth and efficient workspace.
- Develop and implement administrative policies, procedures, and workflows to enhance productivity and compliance.
- Manage budget tracking, expense reporting, and financial documentation for the local office, ensuring accuracy and transparency.
- Coordinate with HR to streamline onboarding, offboarding, and employee records management for a growing team.
- Serve as the primary point of contact for internal and external stakeholders, including landlords, service providers, and government agencies.
- Organize and facilitate meetings, events, and travel arrangements for executives and team members.
- Monitor and maintain office equipment, IT infrastructure, and security protocols to support business continuity.
- Prepare regular reports on operational metrics, administrative expenses, and process improvements for leadership review.
Qualifications
- Bachelorâs degree in Business Administration, Management, or a related field; Masterâs degree is a plus.
- Minimum of 5 years of experience in office administration, operations management, or a similar role, preferably in a multinational or e-commerce environment.
- Proven ability to manage budgets, negotiate with vendors, and optimize administrative processes.
- Strong organizational, multitasking, and problem-solving skills with meticulous attention to detail.
- Excellent written and verbal communication skills in English; proficiency in Indonesian (Bahasa) is advantageous.
- Proficiency in MS Office (Excel, Word, PowerPoint) and familiarity with ERP or office management software.
- Experience working in a fast-paced, remote, or hybrid environment with a global team.
- Leadership qualities with the ability to mentor and manage a small administrative team.
