Responsibility
- Serve as the first point of contact for visitors, clients, and employees, providing a welcoming and professional experience at the front desk.
- Manage incoming calls, emails, and correspondence, ensuring prompt and accurate responses or routing to the appropriate departments.
- Coordinate and schedule meetings, appointments, and conference room bookings, including setup and preparation of necessary materials.
- Maintain office supplies inventory, place orders as needed, and ensure all administrative resources are well-stocked and organized.
- Assist with document preparation, filing, and record-keeping, ensuring compliance with company policies and regulatory requirements.
- Support HR functions such as onboarding new employees, maintaining personnel records, and assisting with payroll-related tasks.
- Collaborate with facility management to ensure the office environment is clean, safe, and conducive to productivity.
- Handle basic bookkeeping tasks, such as tracking expenses, processing invoices, and assisting with budget monitoring.
Qualifications
- Minimum of 2 years of experience in an administrative, receptionist, or front desk role, preferably in a corporate or hospitality setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software (e.g., Google Workspace, Trello, or Asana).
- Excellent verbal and written communication skills in English; additional languages (Bahasa Indonesia, Mandarin, etc.) are a plus.
- Strong organizational skills with the ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
- Professional demeanor with a customer-focused attitude and the ability to handle sensitive information with discretion.
- Problem-solving skills and the ability to work independently with minimal supervision.
- Experience with basic bookkeeping or HR tasks is an advantage but not required.
- Flexibility to work in various locations across Bali as needed (Canggu, Ubud, Denpasar, etc.).
