As a key member of our Gracehaven team, you will play a pivotal role in supporting the operational and administrative functions of our fostering initiatives. Reporting directly to the Manager for Fostering under the guidance of the Executive Director (CYG), you will ensure seamless coordination, compliance, and efficiency in programs designed to uplift vulnerable children and youth.

Responsibility
- Coordinate and manage administrative processes for fostering programs, including documentation, reporting, and compliance with local/regional regulations.
- Liaise with government agencies, NGOs, and community partners to facilitate smooth program operations and stakeholder engagement.
- Maintain accurate records of foster care placements, child/youth progress, and program metrics using digital and physical filing systems.
- Assist in organizing training sessions, workshops, and outreach events for foster parents, caregivers, and staff.
- Prepare and submit regular reports, budgets, and proposals to support funding applications and program evaluations.
- Monitor inventory of program supplies and resources, ensuring timely procurement and allocation.
- Provide clerical support to the Fostering Manager, including scheduling, correspondence, and meeting coordination.
- Uphold confidentiality and ethical standards in handling sensitive information related to children and families.
Qualifications
- Diploma or Bachelor’s degree in Social Work, Administration, Business Management, or a related field.
- Minimum 2-3 years of experience in administrative roles, preferably within NGOs, social services, or child welfare organizations.
- Strong organizational and multitasking skills with meticulous attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and database management.
- Excellent written and verbal communication skills in English; knowledge of Indonesian (Bahasa) is a plus.
- Ability to work independently and collaboratively in a fast-paced, culturally diverse environment.
