Responsibility
- Manage and oversee financial processes, including budget tracking, expense reporting, and invoicing for the Arts & Culture Division.
- Coordinate procurement activities, ensuring timely and cost-effective acquisition of supplies, equipment, and services.
- Maintain accurate and up-to-date administrative records, including contracts, agreements, and internal documentation.
- Liaise with internal and external stakeholders to facilitate smooth communication and operational workflows.
- Organize and schedule meetings, events, and travel arrangements for division staff and partners.
- Develop and implement administrative policies and procedures to enhance efficiency and compliance.
- Monitor inventory levels and place orders for office supplies and cultural program materials as needed.
- Provide general administrative support, including drafting correspondence, preparing reports, and managing filing systems.
Qualifications
- Bachelor’s degree in Business Administration, Finance, or a related field. Relevant experience may substitute for formal education.
- Minimum of 3 years of experience in an administrative or executive support role, preferably within a cultural, non-profit, or creative industry.
- Strong proficiency in financial management, including budgeting, expense tracking, and procurement processes.
- Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with accounting software.
- Exceptional communication and interpersonal skills, with the ability to build rapport with diverse stakeholders.
- High attention to detail and problem-solving abilities, with a proactive approach to identifying and resolving operational challenges.
- Fluency in English is required; proficiency in Indonesian (Bahasa) is a plus.
