Responsibility
- Manage day-to-day administrative operations, including correspondence, scheduling, and document management, to ensure efficient workflow.
- Coordinate office facilities, supplies, and equipment, maintaining a well-organized and functional workspace for all employees.
- Assist in the preparation and distribution of reports, presentations, and business communications for internal and external stakeholders.
- Liaise with vendors, service providers, and internal departments to facilitate smooth logistics and procurement processes.
- Oversee travel arrangements, accommodations, and expense reporting for staff and visitors, adhering to company policies.
- Maintain accurate records, databases, and filing systems, ensuring confidentiality and compliance with data protection regulations.
- Support HR-related tasks, such as onboarding, offboarding, and employee record management, as required.
- Proactively identify opportunities to streamline administrative processes and implement improvements for greater efficiency.
Qualifications
- Bachelorās degree in Business Administration, Management, or a related field; equivalent experience will also be considered.
- Minimum of 3 years of experience in an administrative or office management role, preferably in logistics, supply chain, or international business.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office management software.
- Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills in English; knowledge of Bahasa Indonesia or Mandarin is a plus.
- High level of discretion and professionalism in handling confidential information.
- Problem-solving mindset with a proactive approach to addressing operational challenges.
