Responsibility
- Manage and maintain an organized filing system for both physical and digital documents, ensuring easy retrieval and compliance with company policies.
- Coordinate administrative support for cross-functional teams, including meeting scheduling, correspondence, and report preparation.
- Implement and monitor document control procedures to track revisions, approvals, and distribution of critical business documents.
- Ensure all documentation adheres to industry standards, legal requirements, and internal quality assurance protocols.
- Liaise with internal and external stakeholders to gather, verify, and disseminate information accurately and promptly.
- Develop and maintain databases or tracking systems to streamline document workflows and improve efficiency.
- Prepare and proofread professional correspondence, contracts, and presentations with a high degree of accuracy.
- Assist in the onboarding process for new employees, including preparation of documentation and coordination of orientation sessions.
Qualifications
- Bachelorâs degree in Business Administration, Office Management, or a related field (or equivalent work experience).
- Minimum of 2-3 years of experience in administrative roles, with a focus on document control or records management.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management software.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills in English; additional languages are a plus.
- High attention to detail and a commitment to maintaining confidentiality and data integrity.
- Experience working in multicultural or international settings is highly desirable.
- Familiarity with ISO standards or other compliance frameworks is an advantage.
