Responsibility
- Manage day-to-day office operations, including correspondence, filing systems, and supply inventory to ensure seamless workflow.
- Coordinate meetings, appointments, and travel arrangements for senior staff, including itinerary preparation and logistics.
- Prepare and edit professional documents, reports, and presentations with a high degree of accuracy and attention to detail.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries and communications with professionalism.
- Maintain and update company databases, records, and HR-related documentation in compliance with organizational policies.
- Assist in onboarding new employees, including preparing workstations, distributing materials, and facilitating introductions.
- Monitor office expenses, process invoices, and liaise with vendors to ensure cost-effective procurement.
- Support special projects and events by coordinating resources, timelines, and deliverables as needed.
Qualifications
- Proven experience (2+ years) in an administrative, office support, or coordinator role, preferably in a fast-paced corporate or trading environment.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills in English; proficiency in additional languages is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
- High level of discretion and confidentiality when handling sensitive information.
- Problem-solving mindset with a proactive approach to identifying and resolving operational inefficiencies.
- Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field is preferred.
- Ability to work independently and collaboratively in a multicultural team environment.
