Responsibility

  • Manage and coordinate administrative tasks for sub-contracting operations, including documentation, correspondence, and scheduling.
  • Assist in preparing and maintaining accurate records, reports, and databases related to sub-contractor activities.
  • Liaise with internal teams and external partners to ensure seamless communication and efficient workflow.
  • Handle confidential information with discretion and maintain high standards of data integrity.
  • Support the procurement process by assisting with vendor communications, contract documentation, and compliance checks.
  • Organize meetings, prepare agendas, and take minutes to ensure follow-up actions are tracked and completed.
  • Provide logistical support for team travel, accommodations, and event planning as needed.
  • Contribute to process improvements by identifying inefficiencies and suggesting administrative solutions.

Qualifications

  • Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field.
  • Minimum of 2 years of experience in an administrative or office support role, preferably in engineering, construction, or a related industry.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with administrative software tools.
  • Excellent organizational and time-management skills with the ability to multitask and prioritize effectively.
  • Strong written and verbal communication skills in English; knowledge of Indonesian is a plus.
  • High level of integrity and professionalism, with a keen eye for detail and accuracy.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Experience with sub-contractor management or procurement processes is highly desirable.
