Responsibility

  • Manage and organize office documentation, including contracts, reports, and correspondence related to facility management services.
  • Coordinate and schedule meetings, appointments, and travel arrangements for management and staff.
  • Handle incoming and outgoing communications, including emails, phone calls, and mail, ensuring timely and professional responses.
  • Maintain accurate and up-to-date records of facility operations, vendor communications, and client interactions.
  • Assist in the preparation of budgets, invoices, and financial reports for facility management projects.
  • Liaise with vendors, contractors, and service providers to ensure seamless facility operations.
  • Support the onboarding process for new employees, including preparation of necessary documentation and orientation materials.
  • Perform general administrative tasks such as filing, data entry, and office supply management.

Qualifications

  • Minimum of 2 years of experience in an administrative or office support role, preferably within facility management or a related industry.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
  • Excellent written and verbal communication skills in English; additional language skills are a plus.
  • Highly organized with the ability to multitask, prioritize workloads, and meet deadlines in a fast-paced environment.
  • Detail-oriented with a proactive approach to problem-solving and process improvement.
  • Ability to work independently as well as collaboratively within a team.
  • Familiarity with basic accounting principles and financial documentation is advantageous.
