Responsibility

  • Oversee day-to-day administrative operations, including office management, document control, and workflow optimization to ensure seamless business processes.
  • Manage facilities across multiple locations in Bali, including maintenance, repairs, and upgrades to ensure a safe, functional, and aesthetically pleasing work environment.
  • Develop and implement facilities management policies, procedures, and best practices to enhance operational efficiency and compliance with local regulations.
  • Coordinate with vendors, contractors, and service providers to secure cost-effective and high-quality services for office maintenance, cleaning, security, and other facility-related needs.
  • Monitor and manage facility budgets, including expense tracking, cost control, and financial reporting to ensure fiscal responsibility.
  • Ensure compliance with health, safety, and environmental regulations, conducting regular inspections and risk assessments to mitigate potential hazards.
  • Lead workplace safety initiatives, including emergency preparedness, fire drills, and employee training to foster a culture of safety and well-being.
  • Collaborate with HR and management teams to support employee needs, including workspace allocation, office supplies, and ergonomic improvements.
  • Manage office relocations, renovations, or expansions as needed, ensuring minimal disruption to business operations.

Qualifications

  • Bachelor’s degree in Business Administration, Facilities Management, Engineering, or a related field. Equivalent work experience will also be considered.
  • Minimum of 5 years of experience in administrative and facilities management, preferably in a multi-site or corporate environment.
  • Proven track record of managing office operations, vendor relations, and facility maintenance in a professional setting.
  • Strong knowledge of health, safety, and environmental regulations, with experience in compliance and risk management.
  • Excellent organizational, problem-solving, and project management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and facility management software/tools.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams and external stakeholders.
  • Fluency in English is required; proficiency in Bahasa Indonesia is a plus.
  • Experience working in Bali or a similar international setting is highly desirable.
