Responsibility
- Provide high-level administrative support to senior managers and group heads, including calendar management, meeting coordination, and travel arrangements.
- Prepare and edit technical reports, presentations, and correspondence with precision and professionalism.
- Act as a liaison between executives and internal/external stakeholders, ensuring clear and timely communication.
- Manage and organize confidential documents, data, and records with strict attention to security and compliance.
- Coordinate and facilitate technical meetings, including preparing agendas, taking minutes, and following up on action items.
- Utilize advanced office software (e.g., Microsoft Office Suite, project management tools) to enhance productivity and workflow efficiency.
- Monitor and track key projects, deadlines, and deliverables, providing proactive reminders and updates to leadership.
- Assist in the preparation of budgets, expense reports, and financial documentation as required.
Qualifications
- Bachelor’s degree in Business Administration, Office Management, or a related field. Relevant experience may substitute for formal education.
- Minimum of 3-5 years of experience as an Executive Assistant, Technical Assistant, or in a similar high-level administrative role.
- Exceptional organizational, multitasking, and time-management skills with the ability to prioritize tasks effectively.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools (e.g., Asana, Trello).
- Excellent written and verbal communication skills in English, with a professional and polished demeanor.
- High level of discretion and integrity in handling sensitive and confidential information.
- Proactive problem-solving mindset with the ability to anticipate needs and act independently.
- Experience in the food and beverage, manufacturing, or corporate industry is a plus.
