Responsibility

  • Manage, organize, and maintain all project-related documents, including contracts, drawings, reports, and correspondence, ensuring version control and accessibility.
  • Coordinate with project managers, engineers, and stakeholders to collect, review, and distribute documentation in compliance with company and regulatory standards.
  • Implement and maintain a structured filing system (both digital and physical) to facilitate quick retrieval and audit readiness.
  • Monitor document submission deadlines and follow up with relevant parties to ensure timely delivery.
  • Prepare and update project documentation logs, registers, and transmittals with high accuracy.
  • Assist in the preparation of progress reports, meeting minutes, and other administrative deliverables.
  • Ensure confidentiality and security of sensitive project documents at all times.
  • Provide administrative support to the project team, including scheduling, correspondence, and data entry as needed.

Qualifications

  • Bachelor’s degree in Business Administration, Engineering, Construction Management, or a related field. Diploma holders with relevant experience are also encouraged to apply.
  • Minimum 2 years of experience in document control, project administration, or a similar role, preferably in the construction, engineering, or real estate sectors.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management software (e.g., SharePoint, Aconex, or Procore).
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines in a high-pressure environment.
  • Excellent written and verbal communication skills in English; knowledge of Indonesian (Bahasa) is a plus.
  • Attention to detail and a commitment to maintaining data integrity and accuracy.
  • Ability to work collaboratively in a team and adapt to evolving project requirements.
  • Familiarity with ISO standards, construction regulations, and industry best practices is advantageous.
