Responsibility
- Manage complex and dynamic calendars for senior executives, prioritizing meetings based on business urgency and strategic impact.
- Coordinate intricate travel arrangements, including international logistics, visas, and detailed itineraries.
- Prepare high-quality presentations, reports, and correspondence for internal and external stakeholders.
- Act as a primary point of contact, screening communications and gatekeeping to optimize executive productivity.
- Organize and facilitate executive-level meetings, including agenda preparation, minute-taking, and follow-up on action items.
- Process expense reports and manage departmental budgets with strict adherence to company compliance and financial policies.
- Maintain electronic filing systems and confidential records with advanced organizational proficiency.
- Lead and support special projects and office initiatives to enhance team workflows and operational efficiency.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Minimum of 5-8 years of experience supporting C-suite or senior-level management, preferably within a multinational or financial services environment.
- Exceptional proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, and Word).
- Strong written and verbal communication skills with the ability to interface with high-level internal and external contacts.
- Proven ability to maintain absolute confidentiality and exercise professional judgment.
- Strong problem-solving skills and the ability to multitask in a rapidly shifting, high-pressure environment.
