As our Dispatch & Document Collection Assistant, you will play a crucial role in maintaining the efficiency of our operations by collecting and managing essential documents from key client locations across Canggu, Ubud, Denpasar, Jimbaran, Nusa Dua, Kuta, and Badung. You’ll visit client sites 7 times per month, ensuring timely and accurate document retrieval while upholding the highest standards of professionalism. Responsibility
- Document Collection: Visit assigned client locations (e.g., Buroh St, Tanjong Katong, Kallang Way, Chinatown, and other key areas in Bali) to collect and verify documents on a monthly basis (7 visits/month).
- Timely Dispatch: Ensure all collected documents are securely transported and delivered to the designated office or processing center within specified deadlines.
- Client Interaction: Maintain professional and courteous communication with clients during document pickups, addressing any questions or concerns promptly.
- Record Keeping: Accurately log and track collected documents using digital or manual systems to ensure transparency and accountability.
- Route Optimization: Plan efficient travel routes to minimize time and transportation costs while maximizing productivity.
- Compliance & Confidentiality: Adhere to company policies and data protection regulations to safeguard sensitive information.
- Reporting: Provide regular updates to the supervisor on document collection status, client feedback, and any challenges encountered.
- Problem Solving: Address and resolve minor issues on-site, escalating complex matters to the appropriate team member when necessary.
Qualifications
- Experience: Prior experience in administrative support, document handling, or dispatch roles is a plus, but not required. Training will be provided.
- Reliability: Proven track record of punctuality, dependability, and attention to detail in previous roles.
- Communication Skills: Strong verbal and written communication skills in English. Proficiency in Bahasa Indonesia is an advantage.
- Transportation: Access to reliable transportation (e.g., scooter, car, or public transport) to travel between client locations in Bali.
- Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and work independently with minimal supervision.
- Tech-Savviness: Basic proficiency in using smartphones, GPS apps (e.g., Google Maps), and digital documentation tools.
- Professionalism: Strong interpersonal skills and a customer-focused attitude when interacting with clients.
- Physical Stamina: Ability to handle light physical tasks, such as carrying documents or navigating various locations.
