Responsibility
- Oversee and coordinate office relocation, setup, and space optimization to align with organizational growth and healthcare compliance standards.
- Manage facilities operations, including maintenance, security, and workplace safety, ensuring a conducive environment for staff and patients.
- Liaise with vendors and service providers to negotiate contracts, procure supplies, and maintain cost-effective partnerships.
- Develop and implement office policies, procedures, and workflows to enhance efficiency and streamline administrative processes.
- Lead cross-functional projects, such as IT infrastructure upgrades, furniture procurement, and sustainability initiatives.
- Monitor and manage the office budget, tracking expenses and identifying opportunities for cost savings without compromising quality.
- Serve as the primary point of contact for staff and external stakeholders on office-related matters, resolving issues promptly and professionally.
- Collaborate with HR and department heads to ensure workspace alignment with healthcare operational needs and regulatory requirements.
Qualifications
- Bachelor’s degree in Business Administration, Office Management, Healthcare Administration, or a related field.
- Minimum 5 years of experience in office management, with at least 2 years in a supervisory or assistant manager role, preferably in the healthcare sector.
- Proven track record in facilities management, vendor negotiations, and project coordination.
- Strong organizational, leadership, and problem-solving skills with the ability to multitask in a fast-paced environment.
- Proficiency in Microsoft Office Suite, project management tools (e.g., Asana, Trello), and budgeting software.
- Excellent communication and interpersonal skills, with the ability to engage effectively with stakeholders at all levels.
- Knowledge of healthcare compliance standards (e.g., HIPAA, local regulations) is a plus.
- Fluency in English; proficiency in Bahasa Indonesia is advantageous but not required.
