Responsibility
- Manage and coordinate the Board of Directors' complex calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and distribute meeting agendas, minutes, and follow-up actions to ensure timely execution of decisions.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries with professionalism and discretion.
- Draft, review, and edit correspondence, reports, and presentations on behalf of the Board of Directors.
- Organize and maintain confidential documents, ensuring accurate filing and easy retrieval.
- Coordinate logistics for board meetings, including venue setup, catering, and technical requirements.
- Liaise with other departments to gather information and facilitate communication between the Board and senior management.
- Monitor and track key deadlines, ensuring compliance with corporate governance requirements.
Qualifications
- Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
- Minimum of 3 years of experience as an Executive Secretary, Personal Assistant, or in a similar high-level administrative role.
- Exceptional written and verbal communication skills in both English and Bahasa Indonesia.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
- Strong organizational and time-management skills, with the ability to prioritize tasks in a fast-paced environment.
- High level of discretion and confidentiality when handling sensitive information.
- Excellent interpersonal skills, with the ability to build relationships at all levels of the organization.
- Knowledge of corporate governance practices and board meeting procedures is a plus.
