Responsibility
- Manage and coordinate the Directorsâ complex calendars, including scheduling meetings, appointments, and travel arrangements with precision.
- Serve as the primary liaison between the Directors and internal/external stakeholders, ensuring clear and professional communication.
- Prepare and edit executive correspondence, reports, and presentations with a high degree of accuracy and confidentiality.
- Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
- Handle sensitive information with discretion and maintain strict confidentiality in all executive matters.
- Coordinate logistics for domestic and international travel, including visa arrangements, accommodations, and itineraries.
- Monitor and prioritize incoming communications (emails, calls, and messages) to ensure timely responses and resolutions.
- Assist in the preparation of budgets, expense reports, and other administrative documents as required.
Qualifications
- Minimum of 3-5 years of experience as an Executive Secretary, Personal Assistant, or in a similar high-level administrative role.
- Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively.
- Fluent in English (written and verbal) with excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with calendar management tools.
- Strong attention to detail and problem-solving abilities, with a proactive and resourceful approach.
- Experience working in a multinational or fast-paced corporate environment is a plus.
- Discretion and integrity in handling confidential and sensitive information.
- Bachelorâs degree in Business Administration, Secretarial Studies, or a related field is preferred.
