Responsibility
- Manage the Director’s calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and professionalism.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries with diplomacy and confidentiality.
- Coordinate and organize executive meetings, including preparing agendas, taking minutes, and distributing follow-up actions.
- Maintain and update filing systems (digital and physical) to ensure easy retrieval of critical documents.
- Liaise with other departments to facilitate cross-functional communication and collaboration.
- Monitor and manage office supplies, equipment, and vendor relationships to support operational efficiency.
- Assist in special projects and ad-hoc tasks as assigned by the Director, demonstrating adaptability and initiative.
Qualifications
- Minimum of 3+ years of experience in a secretarial, executive assistant, or administrative support role, preferably at a senior level.
- Fluency in English and Indonesian (written and verbal) with exceptional communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management tools.
- Strong organizational and time-management skills, with the ability to prioritize tasks in a high-pressure environment.
- Discretion and integrity in handling sensitive and confidential information.
- Proactive mindset with a solution-oriented approach to problem-solving.
- Bachelor’s degree in Business Administration, Secretarial Studies, or a related field is a plus.
- Experience working in an international or multicultural environment is highly desirable.
