Responsibility
- Manage complex calendars, schedule meetings, and coordinate appointments for senior executives, prioritizing commitments effectively.
- Prepare, proofread, and edit correspondence, reports, presentations, and other documents, ensuring accuracy and professional presentation.
- Coordinate intricate travel arrangements, including flights, accommodation, visas, and itineraries for domestic and international trips.
- Organize and maintain comprehensive physical and digital filing systems, ensuring quick retrieval of information and adherence to confidentiality protocols.
- Act as the primary point of contact and liaison between executives and internal/external stakeholders, managing inquiries and directing communications appropriately.
- Prepare agendas, take minutes during meetings, and follow up on action items to ensure timely completion.
- Handle confidential and sensitive information with the utmost discretion and professionalism.
- Assist with special projects, research tasks, and event planning as required by the executive team.
Qualifications
- Proven experience (3-5+ years) as an Executive Secretary, Senior Administrator, or similar role supporting senior leadership.
- Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively in a demanding environment.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with virtual meeting platforms.
- Outstanding written and verbal communication skills in English, with a keen eye for detail and grammar.
- Demonstrated ability to maintain high levels of discretion and confidentiality.
- Proactive problem-solver with a strong sense of initiative and the ability to work independently.
- A professional demeanor with excellent interpersonal skills, capable of interacting effectively with all levels of staff and external partners.
- High school diploma or equivalent; a secretarial diploma or a degree in Business Administration is highly desirable.
