Responsibility
- Manage and coordinate the executive’s calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Act as the primary point of contact for internal and external stakeholders, handling correspondence, calls, and inquiries with professionalism and confidentiality.
- Prepare and edit reports, presentations, and other business documents to ensure accuracy and alignment with executive priorities.
- Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
- Oversee personal and professional errands, such as expense management, vendor coordination, and event planning.
- Anticipate the executive’s needs and proactively address them to enhance productivity and decision-making.
- Maintain strict confidentiality and discretion in all matters related to the executive’s personal and professional affairs.
- Liaise with other departments, senior management, and external partners to ensure smooth collaboration and communication.
Qualifications
- Minimum of 3-5 years of experience as an executive assistant, private assistant, or in a similar high-level administrative role.
- Exceptional organizational, multitasking, and time-management skills with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills in English and Indonesian; fluency in additional languages is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools (e.g., Trello, Asana).
- High level of discretion, integrity, and professionalism in handling sensitive information.
- Proven ability to work independently, take initiative, and solve problems proactively.
- Flexibility to adapt to changing priorities and work outside standard business hours when necessary.
- Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
