Responsibility
- Manage the Director’s calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism in all communications.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries and requests with diplomacy and efficiency.
- Coordinate and facilitate high-level meetings, including preparing agendas, taking minutes, and following up on action items.
- Oversee expense reporting, budget tracking, and other administrative tasks to ensure compliance and financial accuracy.
- Conduct research and compile data to support the Director’s decision-making processes.
- Maintain strict confidentiality in all matters related to the Director’s role and the organization.
- Anticipate the Director’s needs and proactively address them to enhance productivity and workflow.
Qualifications
- Minimum of 5 years of experience as a Personal Assistant, Executive Assistant, or in a similar high-level administrative role.
- Proven ability to manage complex schedules and prioritize tasks in a fast-paced environment.
- Exceptional written and verbal communication skills in English; proficiency in additional languages is a plus.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
- Strong organizational, multitasking, and problem-solving skills with a keen eye for detail.
- High level of discretion, professionalism, and the ability to handle sensitive information confidentially.
- Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
- Experience working in a multinational or corporate environment is highly advantageous.
