Responsibility
- Act as the primary point of contact for the COO, managing communications, correspondence, and inquiries with professionalism and discretion.
- Coordinate and prioritize the COO’s calendar, including scheduling meetings, appointments, and travel arrangements while ensuring optimal time management.
- Prepare high-quality presentations, reports, and briefing materials for executive meetings, ensuring accuracy and timely delivery.
- Facilitate seamless communication between the COO and internal teams, external partners, and stakeholders to support strategic initiatives.
- Handle confidential information with the utmost integrity, including sensitive documents, contracts, and financial data.
- Organize and coordinate logistics for company events, board meetings, and offsite retreats, ensuring all details are executed flawlessly.
- Anticipate the COO’s needs by proactively identifying challenges and opportunities, offering solutions to enhance efficiency.
- Manage expense reports, invoices, and other administrative tasks to support the COO’s operational requirements.
Qualifications
- Minimum of 5 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting C-level executives.
- Proven track record of managing complex calendars, travel arrangements, and high-level communications with professionalism.
- Exceptional written and verbal communication skills in English; proficiency in Indonesian is a plus.
- Strong organizational skills with the ability to multitask, prioritize, and meet tight deadlines in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Discretion and integrity in handling confidential and sensitive information.
- Experience working in a hybrid or remote environment, with the ability to adapt to flexible work arrangements.
- Bachelor’s degree in Business Administration, Communications, or a related field is preferred but not required.
