Based in one of Bali’s most dynamic locations—Canggu—you’ll play a pivotal role in ensuring seamless daily operations, both locally and during outstation assignments.
As a Personal Assistant, you will manage complex calendars, coordinate travel arrangements, handle confidential communications, and act as a liaison between executives and internal/external stakeholders. Responsibility
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Coordinate domestic and international outstation travel, including visa applications, accommodations, and itineraries.
- Handle confidential correspondence, emails, and communications on behalf of executives with discretion.
- Prepare reports, presentations, and briefing materials to support executive decision-making.
- Act as the primary point of contact for internal and external stakeholders, ensuring professional and timely responses.
- Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
- Monitor and manage expenses, budgets, and reimbursements for executive-related activities.
- Anticipate executive needs and proactively address potential issues before they arise.
Qualifications
- Minimum 3 years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
- Exceptional written and verbal communication skills in English; proficiency in additional languages is a plus.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Proven ability to handle sensitive information with confidentiality and integrity.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools (e.g., Outlook, Google Calendar).
- Willingness and ability to travel for outstation assignments as required.
- High level of adaptability, problem-solving skills, and attention to detail.
- Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
