Responsibility

  • Calendar & Schedule Management: Proactively coordinate complex executive calendars, including internal/external meetings, travel itineraries, and personal commitments with precision.
  • Executive Support: Prepare briefings, reports, and presentations for senior leadership, ensuring accuracy and timely delivery.
  • Communication Liaison: Act as the primary point of contact for executives, screening calls, managing correspondence, and handling sensitive information with confidentiality.
  • Operational Coordination: Oversee day-to-day administrative tasks for the Board of Directors, including expense tracking, document preparation, and vendor relations.
  • Travel & Logistics: Arrange domestic and international travel, including flights, accommodations, visas, and ground transportation, with attention to cost efficiency and comfort.
  • Stakeholder Engagement: Build and maintain professional relationships with internal teams, clients, and external partners on behalf of executives.
  • Event Planning: Organize corporate events, retreats, or offsites, from venue selection to on-site execution.
  • Process Optimization: Identify opportunities to streamline executive workflows and implement best practices for time management.

Qualifications

  • Proven Experience: Minimum 3+ years as a Personal Assistant, Executive Assistant, or in a high-level administrative role supporting C-suite executives.
  • Exceptional Organization: Mastery of calendar management tools (e.g., Google Calendar, Outlook) and the ability to prioritize competing demands in a dynamic environment.
  • Discretion & Professionalism: Unwavering integrity and the ability to handle confidential information with the utmost discretion.
  • Communication Skills: Fluent in English (written and verbal) with polished interpersonal skills to interact with global stakeholders.
  • Tech-Savvy: Proficiency in Microsoft Office Suite, CRM systems, and virtual collaboration tools (e.g., Zoom, Slack).
  • Problem-Solving: Resourceful and solution-oriented, with the ability to anticipate challenges and resolve them independently.
  • Flexibility: Willingness to adapt to evolving priorities and occasional after-hours support for urgent matters.
