As an Executive in Medical Services, you will serve as the linchpin between administrative functions and clinical operations, ensuring seamless coordination, compliance, and high-level support to medical professionals. Responsibility

  • Provide comprehensive executive secretariat support to the Medical Services Department, including managing correspondence, scheduling meetings, and preparing reports.
  • Coordinate and facilitate administrative operations, ensuring compliance with hospital policies, regulatory requirements, and accreditation standards.
  • Liaise with medical staff, department heads, and external stakeholders to streamline communication and operational workflows.
  • Manage and maintain confidential medical records, documents, and databases with the highest level of accuracy and security.
  • Assist in the planning and execution of departmental projects, including budget tracking, resource allocation, and event coordination.
  • Develop and implement efficient administrative systems to enhance productivity and support clinical operations.
  • Monitor and follow up on action items, deadlines, and deliverables to ensure timely completion.
  • Serve as the first point of contact for internal and external inquiries, providing professional and courteous assistance.

Qualifications

  • A Bachelor’s degree in Business Administration, Healthcare Management, or a related field. Candidates with a diploma in secretarial studies or equivalent experience will also be considered.
  • Minimum 3-5 years of experience in an executive or administrative role, preferably within the healthcare or medical sector.
  • Exceptional organizational, multitasking, and time-management skills with the ability to prioritize tasks in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with medical software or electronic health record (EHR) systems.
  • Strong written and verbal communication skills in English; proficiency in Indonesian (Bahasa) is a plus.
  • High level of discretion, professionalism, and integrity when handling sensitive and confidential information.
  • Ability to work independently and collaboratively in a team-oriented setting.
  • Knowledge of healthcare regulations, compliance standards, and medical terminology is advantageous.
