Responsibility
- Calendar & Schedule Management: Proactively manage the CEOâs calendar, prioritizing meetings, appointments, and travel arrangements to optimize their time and productivity.
- Stakeholder Coordination: Serve as the primary point of contact for internal and external stakeholders, including executives, clients, and partners, ensuring clear and timely communication.
- Meeting Preparation & Follow-Up: Organize and prepare materials for high-level meetings, take detailed minutes, and ensure action items are followed up on promptly.
- Travel & Logistics: Arrange complex domestic and international travel itineraries, including flights, accommodations, and ground transportation, while managing expenses and reimbursements.
- Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality, acting as a trusted advisor to the CEO on critical matters.
- Project & Task Management: Oversee and prioritize the CEOâs tasks, projects, and deadlines, ensuring nothing falls through the cracks.
- Event Coordination: Plan and execute corporate events, offsites, and team-building activities, ensuring seamless execution and a positive experience for attendees.
- Process Improvement: Identify inefficiencies in current workflows and propose solutions to streamline operations and enhance productivity.
Qualifications
- Proven Experience: Minimum 5 years of experience as an Executive Assistant, Personal Assistant, or similar role, preferably supporting C-level executives.
- Exceptional Organizational Skills: Ability to manage multiple priorities, deadlines, and complex schedules with precision and efficiency.
- Strong Communication: Excellent written and verbal communication skills in English, with the ability to draft professional emails, reports, and presentations.
- Tech-Savviness: Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and calendar management tools (e.g., Outlook, Google Calendar).
- Problem-Solving: A proactive mindset with the ability to anticipate needs, troubleshoot issues, and think critically under pressure.
- Discretion & Professionalism: High level of integrity and discretion when handling confidential information and sensitive situations.
- Adaptability: Ability to thrive in a fast-paced, dynamic environment with shifting priorities and tight deadlines.
