Responsibility
- Act as the primary point of contact for senior executives, managing communications, correspondence, and meeting requests with professionalism and discretion.
- Coordinate and manage complex calendars, ensuring optimal scheduling for meetings, travel, and critical deadlines while anticipating conflicts and proactively resolving them.
- Prepare high-quality presentations, reports, and briefing materials for executive reviews, board meetings, and stakeholder engagements.
- Facilitate seamless communication between executives, internal teams, and external partners, ensuring timely follow-ups and action items.
- Organize and coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries, while managing expenses and logistics.
- Maintain confidential documents, records, and databases with the highest level of accuracy and security, adhering to corporate governance standards.
- Support special projects and initiatives, including event planning, corporate governance activities, and cross-departmental collaborations.
- Serve as a gatekeeper for executive time, prioritizing tasks and filtering requests to ensure focus on high-impact activities.
Qualifications
- Minimum of 5 years of experience as an Executive Assistant or in a similar high-level administrative role, preferably within the financial services, corporate, or legal sectors.
- Proven track record of supporting C-level executives or senior leadership in a fast-paced, dynamic environment.
- Exceptional organizational skills with the ability to manage multiple priorities, deadlines, and conflicting demands without supervision.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools such as Google Workspace, Slack, or Zoom.
- Strong written and verbal communication skills in English, with the ability to draft professional correspondence, reports, and presentations.
- Discretion and integrity in handling sensitive and confidential information, with a keen understanding of corporate governance and compliance.
- Experience in coordinating international travel, managing logistics, and handling expense reports with precision.
- Ability to work independently in a remote setting, with a proactive approach to problem-solving and a commitment to excellence.
- Bachelor’s degree in Business Administration, Communications, or a related field is a plus.
