Responsibility
- Manage complex, multi-time-zone calendars for C-level executives, prioritizing meetings, travel, and deadlines with meticulous attention to detail.
- Coordinate global travel arrangements, including flights, accommodations, visas, and itineraries, ensuring cost efficiency and compliance with corporate policies.
- Act as the primary point of contact for internal and external stakeholders, screening calls, emails, and requests with professionalism and discretion.
- Prepare executive briefings, reports, and presentations using data from Concur and other enterprise tools, ensuring accuracy and timeliness.
- Organize and facilitate high-level meetings, including board meetings, investor calls, and cross-functional workshops, with full logistical support.
- Handle expense reporting and budget tracking for executive teams, leveraging Concur’s platform to streamline financial processes.
- Anticipate executive needs by proactively resolving issues and implementing process improvements to enhance productivity.
- Maintain confidentiality and data security in all communications, adhering to corporate governance and compliance standards.
Qualifications
- 5+ years of experience as an Executive Assistant, preferably supporting C-suite or senior leadership in a global or multinational company.
- Exceptional calendar management skills, with experience handling complex, high-volume schedules across multiple time zones.
- Proficient in Concur, Microsoft Office Suite (Outlook, PowerPoint, Excel), and virtual collaboration tools (e.g., Teams, Zoom).
- Strong written and verbal communication skills in English, with the ability to draft professional correspondence and interact with stakeholders at all levels.
- Demonstrated discretion and confidentiality in handling sensitive information and executive communications.
- Experience with travel coordination, including international logistics, visa processing, and expense management.
- Problem-solving mindset with the ability to anticipate needs, prioritize tasks, and work independently in a fast-paced environment.
- Bachelor’s degree in Business Administration, Communications, or a related field is a plus.
