Responsibility
- Manage complex calendars, schedule meetings, and coordinate appointments for senior executives, ensuring optimal time management and prioritization.
- Act as the primary point of contact for internal and external stakeholders, handling communications with professionalism and discretion.
- Prepare, edit, and proofread high-quality documents, reports, and presentations for executive review and distribution.
- Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries, while managing expense reports.
- Organize and facilitate virtual and in-person meetings, including agenda preparation, minute-taking, and follow-up action items.
- Maintain confidential files, records, and databases with accuracy and attention to detail.
- Anticipate executive needs, proactively addressing challenges and providing solutions to streamline operations.
- Assist with special projects, research, and ad-hoc tasks as required by leadership.
Qualifications
- Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role supporting senior leadership.
- Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills in English; proficiency in additional languages is a plus.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
- Experience with calendar management tools (e.g., Outlook, Google Calendar) and virtual meeting platforms (e.g., Zoom, Microsoft Teams).
- High level of discretion and professionalism when handling sensitive information.
- Ability to work independently, solve problems creatively, and adapt to changing priorities.
- Strong attention to detail and commitment to delivering error-free work.
