Responsibility
- Manage complex calendars, schedule meetings, and coordinate travel arrangements for executives, ensuring optimal time management and prioritization.
- Act as the primary point of contact for internal and external stakeholders, handling correspondence with professionalism and confidentiality.
- Prepare and edit reports, presentations, and other business documents with a high degree of accuracy and attention to detail.
- Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
- Oversee office operations, including vendor management, supply ordering, and maintaining a well-organized workspace.
- Conduct research and compile data to support decision-making and strategic initiatives.
- Liaise with other departments to ensure smooth communication and alignment on executive priorities.
- Anticipate needs and proactively address potential issues before they arise, demonstrating foresight and problem-solving skills.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent experience).
- Minimum of 3-5 years of experience as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role.
- Exceptional organizational and multitasking abilities, with a proven track record of managing competing priorities.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools (e.g., Asana, Trello).
- Outstanding written and verbal communication skills in English, with the ability to draft clear, concise, and professional correspondence.
- Strong discretion and integrity, with experience handling sensitive and confidential information.
- Self-starter mindset with the ability to work independently and take initiative in a fast-paced environment.
- Experience working in a global or multicultural team is a plus.
