Responsibility
- Oversee and manage administrative processes within the Subcontracting Department, ensuring compliance with company policies and industry regulations.
- Coordinate and liaise with subcontractors, vendors, and internal teams to facilitate smooth project execution.
- Prepare, review, and maintain contractual agreements, ensuring accuracy and timely renewals.
- Develop and implement efficient administrative systems to streamline workflows and improve productivity.
- Monitor project timelines, budgets, and deliverables, providing regular reports to senior management.
- Handle correspondence, documentation, and record-keeping with meticulous attention to detail.
- Assist in the preparation of tenders, proposals, and other business development materials.
- Support cross-functional teams by organizing meetings, taking minutes, and following up on action items.
Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field.
- Minimum of 3-5 years of experience in an administrative or executive support role, preferably in a subcontracting or procurement environment.
- Strong organizational, multitasking, and time-management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills in English; proficiency in additional languages is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with ERP or project management software.
- High level of discretion and professionalism in handling confidential information.
- Proactive problem-solving mindset with a keen eye for detail.
- Ability to work independently and collaboratively in a fast-paced, multicultural environment.
