Responsibility
- Manage the Group Managing Director’s calendar, including scheduling meetings, appointments, and travel arrangements with precision and discretion.
- Prepare and edit correspondence, reports, and presentations to ensure accuracy, clarity, and professionalism.
- Coordinate and facilitate internal and external communications on behalf of the GMD Office, including email, phone, and in-person inquiries.
- Organize and maintain confidential files, documents, and records, ensuring compliance with company policies and data protection regulations.
- Liaise with senior executives, board members, and external stakeholders to support strategic initiatives and decision-making processes.
- Oversee office supply inventory, vendor relationships, and budget tracking for administrative expenses.
- Plan and execute executive meetings, conferences, and events, including logistics, agendas, and follow-up actions.
- Anticipate the needs of the GMD and proactively address administrative challenges to enhance productivity and efficiency.
Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field. Advanced degrees or certifications (e.g., CAP, PMP) are a plus.
- Minimum of 5 years of experience in an executive administrative or office management role, preferably supporting C-level executives.
- Exceptional written and verbal communication skills in English; proficiency in additional languages is advantageous.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
- Strong organizational and time-management skills, with the ability to prioritize tasks and meet tight deadlines in a high-pressure environment.
- High level of discretion, integrity, and professionalism in handling sensitive and confidential information.
- Proven ability to work independently, take initiative, and solve problems proactively.
- Experience in a multinational or diverse cultural setting is highly desirable.
