Responsibility
- Manage and maintain a centralized document control system, ensuring all files are accurately labeled, version-controlled, and easily accessible.
- Coordinate the preparation, review, and distribution of technical and administrative documents in compliance with company and regulatory standards.
- Implement and enforce document management policies, procedures, and best practices to ensure consistency and compliance.
- Collaborate with cross-functional teams to gather, update, and archive documentation, including SOPs, work instructions, and project deliverables.
- Monitor document workflows, track deadlines, and ensure timely approvals and revisions.
- Conduct regular audits to verify the accuracy, completeness, and currency of all controlled documents.
- Train and support employees on document control processes and software tools.
- Generate reports on document status, access, and changes for management review.
Qualifications
- Bachelor’s degree in Business Administration, Office Management, or a related field. Relevant experience may substitute for formal education.
- Proven experience (2+ years) in document control, records management, or a similar administrative role.
- Proficiency in document management systems (e.g., SharePoint, Alfresco, or proprietary software) and Microsoft Office Suite.
- Strong attention to detail with exceptional organizational and time-management skills.
- Excellent written and verbal communication skills in English.
- Ability to work independently and collaboratively in a fast-paced environment.
- Knowledge of ISO standards, quality management systems, or industry-specific compliance requirements is a plus.
- Familiarity with digital filing, metadata tagging, and electronic signature workflows.
