Responsibility
- Manage, maintain, and control all project and technical documentation, ensuring accuracy, completeness, and compliance with company and regulatory standards.
- Implement and oversee document control systems, including version control, indexing, and archiving, to facilitate easy retrieval and traceability.
- Coordinate document workflows between internal teams (e.g., engineering, procurement, operations) and external stakeholders (e.g., clients, vendors, contractors).
- Review and verify documentation for consistency, formatting, and adherence to project specifications and industry best practices.
- Monitor document status, track revisions, and ensure timely updates to reflect project progress or changes.
- Provide training and support to team members on document control procedures, tools, and software (e.g., SharePoint, Documentum, or similar).
- Prepare and distribute document packages for audits, reviews, or project milestones, ensuring all records are audit-ready.
- Identify opportunities to streamline document processes, reduce redundancies, and enhance digital collaboration tools.
Qualifications
- Minimum 3 years of experience in document control, records management, or a related administrative role, preferably in engineering, construction, or industrial sectors.
- Proficient in document management software (e.g., SharePoint, Documentum, Aconex) and Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong attention to detail with a proven ability to manage large volumes of documentation in fast-paced environments.
- Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Familiarity with ISO standards, regulatory compliance, or quality management systems (e.g., ISO 9001) is a plus.
- Strong communication skills in English (written and verbal) to liaise with international teams and stakeholders.
- Ability to work independently, problem-solve, and adapt to evolving project requirements.
- Experience with remote collaboration tools (e.g., Slack, Microsoft Teams, Zoom) and cloud-based document storage solutions.
