Responsibility
- Manage and maintain an organized document control system, ensuring all files are accurately labeled, stored, and easily retrievable.
- Coordinate the distribution of documents to internal and external stakeholders, ensuring timely and secure delivery.
- Monitor document revisions and updates, maintaining version control to prevent discrepancies.
- Ensure compliance with company policies and industry regulations regarding document handling and retention.
- Collaborate with project teams to gather, review, and archive project-related documentation.
- Conduct regular audits of the document management system to identify and resolve any inconsistencies.
- Provide support in the preparation of reports, presentations, and other administrative tasks as required.
- Assist in the implementation of digital document management solutions to enhance efficiency and accessibility.
Qualifications
- Diploma or degree in Business Administration, Information Management, or a related field.
- Proven experience in document control, administration, or a similar role, preferably in a corporate or project-based environment.
- Proficiency in document management software and Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent attention to detail and accuracy in handling confidential and sensitive information.
- Effective communication skills, both written and verbal, with the ability to liaise with various stakeholders.
- Familiarity with compliance and regulatory requirements related to document management.
- Ability to work independently and as part of a team in a fast-paced environment.
